Shop Owner Operating Procedures

Standard operating procedures (SOPs) for the shop Owner. They turn Kadenio's features into a repeatable routine and highlight the controls an owner is responsible for.

Who can use this

The Owner role. Several steps (Settings, Users, Organization) are owner-only.

Daily

Opening (5 minutes)

# Check Where Why
1 Sign in and confirm the shop name in the header Header You are working in the right shop
2 Review today's workshop queue: Ready for pickup, and anything due today Workshop Plan pickups and technician work
3 Check notifications Bell icon / Notifications Repair-ready and system notices
4 Glance at low-stock items Reports (Low stock) or Inventory Reorder before you run out
5 Confirm the payment methods you'll accept today are active Settings → POS Inactive methods are refused at checkout

During the day

  • Sell through POS → Checkout. Attach a customer when they want points, a voucher, an emailed receipt or an invoice; anonymous sales are allowed (Counter procedures).
  • Check repairs in with a ticket, never on paper (Workshop).
  • Record every stock change as a movement with a reason; never "fix" stock by editing a product (Inventory).

Closing (10 minutes)

# Check Where
1 Make sure no checkout is left half-finished. An unpaid sale created by Pay should be either confirmed or voided. POS → Sales history, filter Status = Unpaid
2 Review Total sales and Number of sales for today POS → End of day
3 Reconcile card terminal and cash totals against the payment methods in Sales history POS → Sales history
4 Move finished repairs to Ready for pickup; mark handed-over bikes Collected Workshop

End of day vs. Reports

End of day is a quick daily view of fully paid sales; Reports follow your shop's time zone and include partly refunded sales. Use Reports for bookkeeping figures.

Every reversal is explained Refund, void and gift-card block require a reason
Stock changes are traceable Every stock change is kept with its reason, who made it and when
Payments can't be taken twice Confirming the same payment again never charges twice, and a paid sale can't be paid again
Data stays inside the shop Your customers, sales and stock are never visible to other shops
