Workshop Technician Procedures

How a mechanic works a repair ticket in Kadenio, from diagnosis to Ready for pickup.

Who can use this

The owner, or staff the owner has allowed to manage the workshop.

The ticket lifecycle

Statuses only move forward. There is no going back, skipping or reopening, and a ticket can't be cancelled once it is Ready for pickup.

Procedure

  1. Pick up the ticket: open it from Workshop. Read Issue, Condition notes and Check-in notes.
  2. Start diagnosis: add an optional transition note describing what you're checking.
  3. Price the job: Add line for each labour item (type labour) and each part (type part, choose the part). The Estimate total updates as you go.

    Parts leave stock when added

A part line takes the part out of stock immediately, and cancelling the ticket does not put it back. Add parts once you're sure they'll be fitted; if a ticket is cancelled, ask the owner to record a stock Adjustment (increase).

  4. Request approval, then contact the customer. When they agree, Approve estimate. Note who approved and how in the transition note. Kadenio then emails the customer the approved work and total.

  5. Start work, do the repair, add any extra lines.
  6. Mark ready for pickup when finished. Kadenio emails the customer that the bike is ready, and the counter takes payment through POS.

Good practice

  • Use transition notes. They're the ticket's history and are what the next person reads.
  • Record what you found (wear, safety issues), even if the customer declined the work.
  • Don't hand the bike over yourself unless the ticket shows Paid in POS.
