Integrations¶
Kadenio gives you a few focused ways to work with the people and tools around your shop. Each one is designed to be easy to review, safe to repeat and useful on a busy day.
Who can use this¶
| Task | Who |
|---|---|
| Download accountant-ready reports | Owner and Managers with access to Reports |
| Manage the workshop calendar feed | Owner |
| Configure the feedback link | Owner |
| Import a supplier catalog | Owner and Managers with access to imports |
Before you start¶
- Confirm that you are working in the correct shop at the top of the screen.
- Ask your accountant which reports and date ranges they need.
- Have a private calendar app ready if you want to subscribe to workshop dates.
- For a supplier catalog, use the supplier's stable product ID and the CSV sample shown in the import dialog. Do not use customer data in an import file.
Check before you commit
Exports do not change shop data. A supplier catalog import can add or update catalog products after you select Commit import. Review the complete preview first.
Accountant-ready exports¶
The Reports screen provides a normal sales CSV and a separate Accountant export. The accountant export is useful for a bookkeeping workflow because it includes VAT by rate, sales and credit notes, payment methods and recorded expenses for the selected period.
How to download an accountant export¶
- Open Reports.
- Choose From and To, then select Apply period.
- Select Export sales CSV and choose Accountant export in the export window.
- Choose the period and select Build and download CSV.
- Open the downloaded file in a spreadsheet program or send it to your accountant.
The export uses your shop's currency and reporting timezone. Credit notes are shown as negative values. Run the same period again if your accountant asks for a refreshed copy; downloading an export does not create another sale or expense.
Workshop calendar¶
The workshop calendar is a private, read-only subscription for pickup work. It helps you see workshop workload in your calendar without exposing customer names, phone numbers, email addresses or repair notes.
How to create a calendar subscription¶
- Open Settings → Integrations.
- Find Calendar subscription.
- Select the branch, then select Create calendar feed.
- Copy the private calendar address into your calendar app as a subscription.
The feed is read-only and contains open tickets with pickup dates. Picked-up and cancelled tickets are removed from the feed. Changes to pickup dates, and newly scheduled tickets, appear the next time your calendar app refreshes the subscription. Kadenio sends a no-cache response, but the calendar provider controls its refresh interval; refresh the subscription manually if you need the change immediately. A ticket without a pickup date is not placed on the calendar; it remains visible in the Workshop view under No pickup date. Once you assign a pickup date, it appears after the next refresh.
How to rotate or revoke it¶
- Return to Settings → Integrations → Calendar subscription.
- Select Replace URL to replace a calendar address that may have been shared.
- Select Revoke when the calendar should no longer be available.
After rotation, the previous address stops working. After revocation, remove the subscription from your calendar app.
Treat the address as private
Anyone who has the private calendar address may be able to read the limited workshop schedule. Do not paste it into a public document or send it to customers.
Review follow-up¶
You can configure one HTTPS feedback link for the shop and optionally send a follow-up after a repair ticket has been paid and collected. This is a manual, operational message, not a marketing campaign.
How to configure the link¶
- Open Settings → Integrations.
- Find Post-collection feedback.
- Enter your shop's HTTPS feedback link in Feedback link.
- Switch on Allow feedback requests.
- Select Save settings.
After a ticket is paid and collected, open the ticket and select Ask for feedback. Kadenio prevents the same ticket from receiving the same request twice.
Rules to know¶
- The link must use HTTPS.
- Feedback is optional and is not sent automatically to every customer.
- The action is available only when the ticket has reached the paid and collected state.
- A request is not repeated when the button is selected again.
Supplier catalog import¶
Supplier catalog import lets you bring a reviewed CSV into Data import without matching products only by name. The supplier's stable product ID is used for safe repeat imports.
How to import a supplier catalog¶
- Open Data import and select Import new.
- Choose Supplier catalog.
- Upload the CSV file. Use Download sample if you need the column layout.
- Select Validate and preview.
- Review accepted rows, rejected rows, duplicate warnings and the source file summary.
- If the preview is correct, select Commit import.
Preview does not change products or stock. Kadenio commits the reviewed batch together, so a failed or incomplete preview does not leave half an import in the catalog. Uploading the same source file again is safe and does not create duplicate products.
Rules to know¶
- Every supplier row needs a stable supplier product ID.
- Product names are not used to silently merge products.
- Fix rejected rows in the source file and validate again.
- Review prices, VAT treatment, stock mode and archived status before committing.
Not available in this version¶
- Direct posting to an accounting system.
- Two-way calendar editing or customer invitations.
- Automatic review polling or selective-review campaigns.
- Supplier API connections, purchase orders or automatic replenishment.
Common questions / problems¶
| Symptom | Cause | What to do |
|---|---|---|
| The export button is unavailable | The period is invalid or the report is still loading | Choose a valid period, select Apply period, then try again |
| The calendar address no longer works | It was rotated or revoked | Create a new feed and replace the old subscription |
| Ask for feedback is not shown | The ticket is not yet paid and collected, or feedback is disabled | Check the ticket status and Settings → Integrations |
| Supplier rows are rejected | A required value is missing or a value is not valid | Correct the CSV, then validate the complete file again |
| A repeated supplier import creates no new products | The source file or supplier IDs were already imported | Review the import history; this is the safe duplicate behavior |
What happens next¶
Exports remain on your device, calendar subscriptions refresh from the current workshop schedule, feedback requests appear in the ticket history, and committed supplier rows become catalog products subject to the normal stock rules.
